Where your billing and invoices live
All billing and invoices run through Stripe. Every invoice, receipt, and payment method is available in your Stripe billing portal. Sign in with the email address your account is billed under and you can view or download any invoice, see payment history, and update your card or bank details — no ticket required.
Billing cycle
Monthly services are invoiced at the start of each month, in advance, and charged automatically to the payment method on file. Project work is invoiced per the milestones in your agreement. Hardware and licenses purchased on your behalf appear as line items with no markup surprises — what we quoted is what you see.
Changing your payment method
- Open the Stripe billing portal.
- Enter your billing email; Stripe sends you a secure sign-in link — no password to remember.
- Under payment methods, add the new card or bank account, set it as default, and remove the old one if you like.
- Done. The next charge uses the new method automatically. ACH bank payments carry lower fees than cards, so we are happy if you switch.
Reading your invoice
Recurring services are listed per seat or per device so you can sanity-check the count against your headcount. If the number looks wrong — someone left, a device was retired — tell us and we will true it up. You should never be paying for a seat that walked out the door.
Questions or disputes
Email billing@betaboxts.com with the invoice number and the line item in question. We respond within two business days, and we do not send an invoice to collections while we are actively discussing it with you.
Late or failed payments
If a charge fails, Stripe retries automatically and emails you. If it still fails, we reach out like humans before anything else happens. Services are never suspended without direct contact and warning — but please do not test that policy.
Plan changes
Adding a new employee, dropping a service, or changing scope? Open a ticket in the HelpDesk portal or raise it with your account manager. Seat changes take effect on the next billing cycle; we do not pro-rate pennies in either direction.

Who can access the portal?
Anyone who signs in with your billing email address. To give a bookkeeper or accountant access, email billing@betaboxts.com and we will add them as a billing contact — never share a login.
Can invoices go straight to my accountant?
Yes. We can add a CC address so every invoice lands in both inboxes the moment it is issued — no “can you resend that PDF” shuffle.
How are projects invoiced?
Milestone invoices reference your statement of work by name, so your records match your agreement line for line. Billing and invoices for ongoing managed services stay separate, so project costs never blur into your monthly number. The related terms are summarized in our client policies doc.
A billing email looks suspicious — now what?
Invoice fraud is one of the most common scams aimed at small businesses. Verify unexpected requests by voice, never trust new bank details sent by email, and review CISA’s Secure Our World guidance. When in doubt, report it through our support guide process.
Need a W-9 or a copy of an old invoice?
Both are quick. The portal keeps your complete billing and invoices history going back to your first month, and billing@betaboxts.com can supply tax paperwork within two business days whenever your accountant asks for one more document.
